Candidates are not to complete any internal SGSM forms for boothing; everything will be managed directly through SCES.

Candidates are responsible for complying with any SGSM-related rules/requirements associated with their campaign. SCES is not responsible for ensuring candidates’ space selections comply with any election-related distancing requirements/rules.

SGSM Election Candidate boothing may occur Monday – Friday of Weeks 1-3 of Spring Quarter 2026 (March 30, 2026 through April 17, 2026).

Candidates must submit an inquiry via UCI Eventive: https://eventive.studentcenter.uci.edu/ to secure a tabling reservation.

If a candidate has never used UCI Eventive, create an account first by clicking on ‘Create New Account’ under the main login options on the landing page.

Once the candidate logs into UCI Eventive, go to ‘Edit My Profile’ page, add a new organization, and type “SGSM Elections Candidate” to create the affiliated organization.

Once the candidate has completed this, save, and use the ‘Submit Event Request’ button on the top right of the system screen to enter the inquiry and submit it to SCES.

Note: When submitting the event inquiry form, select “SGSM Elections Candidate” for the sponsor from the drop-down.

Clients can indicate space preferences in the type-in field in the space section.

SCES is unable to book inquiries with insufficient lead-time. SCES requires 12+ days for info tabling before the first proposed boothing date.

If the candidate misses the lead time requirement, the candiate can exercise their right to free speech and table with a table, chairs, and paper materials. If a candidate chooses free speech, the candidate must find an unoccupied space and cannot have sound, structures, food, or other items that fall within the time, place, and manner requirements. Any charges for equipment rentals (e.g., table with two chairs $10.50/set per date at rate 1) must be paid at the time of contracting via credit card. Candidates cannot use their ASUCI or RCO account number.

Since these reservations are not being made under SGSM and the campus’ self-insurance program, candidates will be granted Rate 1, but will have external individual/group contract terms.

In 2023, UCI Risk Services agreed that as long as the candidates are just bringing a table, chairs, a canopy, and paper, SCES can book them with no insurance requirement. Any additional activities (food giveaways, non-food giveaways, games/activities, structures, etc.) need to be vetted on a case-by-case basis with Risk to ensure compliance with insurance requirements. If the event has more elements and counts as a special event, the candidate will likely need to purchase insurance at their own expense to cover it.
